Where permitted, we may use your contact details to send information about:
- campervan availability;
- offers and discounts;
- new vehicles or services;
- travel-related content; and
- opportunities to book with us again.
Our lawful basis under data-protection law may be consent or legitimate interests. We also comply with the Privacy and Electronic Communications Regulations.

- we obtained the contact details during a sale or genuine negotiation for a sale;
- the marketing concerns our own similar products or services;
- an opt-out was offered when the details were collected; and
- an easy opt-out is included in every message.
You can opt out at any time by using the unsubscribe method included in the message or by contacting hello@weecoocampers.co.uk.
Booking confirmations, payment reminders, collection instructions, safety notices and other communications required to administer your booking are service messages rather than marketing messages. You may continue to receive necessary service messages after opting out of marketing.

We consider whether the processing is necessary and balance our interests against the individual’s rights and reasonable expectations.

7. Who we share information with
We share information only where reasonably necessary, lawful and proportionate.
7.1 Booking and website providers
We may use booking, website, hosting and technical providers to operate our website, manage availability, process bookings and provide customer accounts.
This may include Vik Rent Car and supporting website or hosting services.
7.2 Booking agents
Where a booking is made through Indie Campers or another booking agent, we may exchange booking, driver, payment, rental and customer-service information with that agent.
A booking agent may act as an independent controller for some uses of your information and will provide its own privacy information.
7.3 Payment providers
We may share information with payment processors and banking providers to:
- take payments;
- administer deposits;
- issue refunds;
- prevent fraud; and
- manage chargebacks.
Depending on the payment method offered, these providers may include Revolut, Stripe or another provider identified at the point of payment.
Payment providers may act as independent controllers for certain fraud-prevention, regulatory and payment-processing activities.

- Xero or another accounting provider;
- our accountant or bookkeeper;
- tax advisers;
- auditors;

7.5 Forms, storage and communications providers
We may use providers such as:
- Jotform;
- Google Workspace or Google Drive;
- email-hosting providers;
- WhatsApp or Meta; and
- other communications and document-management services.
Information sent through these systems is subject to the relevant provider’s security measures and, where it acts independently, its own privacy policy.
Please avoid sending sensitive identity documents through ordinary social-media messages unless we have specifically asked you to use that method.
7.6 Rental-support providers
We may share information with:
- roadside-assistance providers;
- recovery operators;

We provide only the information reasonably needed for the service.

We may share driver, licence, booking, accident, damage and identity information with:
- our insurer;

7.9 Business transactions
If our business or assets are sold, transferred, reorganised or merged, relevant information may be shared with professional advisers and prospective or actual purchasers, subject to appropriate confidentiality and data-protection arrangements.
We do not sell customer information to data brokers or advertisers.
8. International transfers
Some of our service providers may store or process information outside the United Kingdom. This can occur where a cloud, communications, payment, booking or software provider operates internationally.
Where personal information is transferred outside the UK, we take reasonable steps to ensure that an appropriate legal transfer mechanism is used. Depending on the destination and provider, this may include:
- UK adequacy regulations;
- the UK International Data Transfer Agreement;
- the UK Addendum to approved standard contractual clauses;
- binding corporate rules; or
- another safeguard permitted by law.
We may also rely on a specific legal exception where applicable.
You may contact us for further information about safeguards used for a relevant transfer.
9. How long we keep information
We do not keep personal information indefinitely merely because it may be useful. Retention depends on the type of information, the purpose for which it is held, insurance conditions, legal limitation periods and statutory record-keeping requirements.
9.1 Unsuccessful enquiries
Enquiries that do not result in a booking are normally retained for up to 12 months after the last meaningful communication, unless there is a reason to retain them for longer.
9.2 Booking and rental records
Rental agreements, booking confirmations, payment records and significant booking correspondence are normally retained for up to six years after the rental or relevant transaction, where necessary for accounting, contractual, tax, insurance or legal purposes.
9.3 Identity and driver-verification documents
Copies of passports, driving licences, proofs of address and DVLA information are retained only for as long as reasonably necessary for:
- verification;
- insurance requirements;
- insurer audits;
- administering the rental;
- dealing with fines or notices;
- investigating an accident or claim; or
- establishing or defending legal rights.
Where there is no ongoing claim, investigation or legal requirement, we aim to delete full identity-document copies within 12 months after the rental ends, unless our insurer requires a different period.
We may retain a limited record confirming that the required checks were completed after the underlying document copies have been deleted.
9.4 Payment and accounting records
Invoices, receipts, transaction references, refunds and accounting information are normally kept for up to six years after the end of the relevant accounting period, or longer where required by law or an ongoing dispute.
We do not determine how long an independent payment provider retains information it holds for its own purposes.
9.5 Accidents, damage, claims and disputes
Information connected to an accident, damage, complaint, chargeback, insurance claim or legal dispute may be retained for six years after the matter is resolved, or longer where reasonably required by an insurer, court process or applicable limitation period.
9.6 Fines, tolls and parking charges
Relevant records are retained until the matter has been transferred, paid, challenged or resolved. Information forming part of a financial, contractual or legal record may then be retained for up to six years.
9.7 Marketing information
Marketing contact information is retained while you remain subscribed or while we reasonably consider our services may remain relevant.
We periodically review inactive marketing records, normally at least every 24 months.
When you opt out, we may retain a minimal suppression record containing your contact detail and opt-out status. This allows us to ensure that we do not accidentally add you back to a marketing list.
9.8 Website and security logs
Website, server and security logs are normally retained for up to 12 months, although shorter or longer periods may be used where necessary to investigate a security incident or meet a provider’s documented security requirements.
9.9 Deletion and anonymisation
At the end of a retention period, information will be:
- securely deleted;
- destroyed;
- anonymised; or
- retained in a restricted form where deletion is not immediately possible because of technical backup cycles.
Backup copies are protected from ordinary use and are overwritten or deleted according to the applicable backup schedule.
10. How we protect information
We use reasonable technical and organisational measures designed to protect personal information against:
- unauthorised access;
- accidental loss;
- alteration;
- disclosure;
- misuse; and
- destruction.
Measures may include:
- password and access controls;
- multi-factor authentication where available;
- secure payment processing;
- restricted access to customer documents;
- software and device updates;
- secure backup arrangements;
- staff or contractor confidentiality obligations;
- data minimisation;
- appropriate provider agreements; and
- procedures for responding to suspected data breaches.
No internet transmission or electronic-storage method is completely secure. You should use secure methods provided by us when sending identity or driver-verification documents.
11. Automated decision-making
We do not currently make decisions about customers that produce legal or similarly significant effects based solely on automated processing.
Booking systems, payment providers, insurers or fraud-prevention services may use automated tools to flag a payment or booking for review. Where the final decision is made by an independent provider, its own privacy policy will apply.
Where we introduce solely automated decision-making that has a legal or similarly significant effect, we will provide the information required by law and explain any applicable rights.
12. Your data-protection rights
Depending on the circumstances and the lawful basis being used, you may have the following rights.
12.1 Access
You may ask for confirmation that we process your personal information and request a copy of that information.
12.2 Correction
You may ask us to correct information that is inaccurate or complete information that is incomplete.
12.3 Erasure
You may ask us to delete your personal information in certain circumstances.
This right is not absolute. We may need to retain information to comply with the law, administer an existing contract, deal with a claim, maintain necessary financial records or establish, exercise or defend legal rights.
12.4 Restriction
You may ask us to restrict how we use your information in certain circumstances, including while its accuracy or our lawful basis is being considered.
12.5 Objection
You may object to processing based on legitimate interests.
We will stop the relevant processing unless we have compelling legitimate grounds that override your interests and rights or the processing is needed for legal claims.
You have an absolute right to object to the use of your information for direct marketing.
12.6 Data portability
Where processing is based on consent or contract and is carried out by automated means, you may have the right to receive information you provided in a structured, commonly used and machine-readable format or ask for it to be transferred to another controller where technically feasible.
12.7 Withdrawal of consent
Where we rely on consent, you may withdraw it at any time.
Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.
12.8 Automated decisions
Where applicable, you may have rights relating to decisions made solely by automated means that have legal or similarly significant effects.
12.9 Exercising your rights
Requests should be sent to:
Email: hello@weecoocampers.co.uk
Post: Wee Coo Campers Ltd, 2/1, 29 Craigmillar Road, Glasgow, Scotland, G42 9JZ
Please describe what you are requesting and provide enough information for us to identify the relevant records.
We may ask for reasonable evidence of identity where necessary to prevent information being disclosed to the wrong person.
We normally respond to rights requests within one month. The period may be extended where a request is particularly complex or multiple requests are made, as permitted by law.
We will not normally charge a fee. A reasonable fee may be charged or a request may be refused where it is manifestly unfounded or excessive, where the law permits this.
13. Data-protection complaints
Please contact us first if you have concerns about how we have handled your personal information.
You can make a data-protection complaint by emailing: hello@weecoocampers.co.uk.
Please use the subject line “Data Protection Complaint” and include:
- your name and contact details;
- a description of your concern;
- relevant booking or correspondence references;
- key dates; and
- the outcome you are seeking.
We will:
- provide a clear way to submit a complaint;
- acknowledge receipt within 30 days;
- make appropriate enquiries without undue delay;
- keep you informed where appropriate; and
- tell you the outcome without undue delay.
You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority for data protection.
Further information is available on the Information Commissioner’s Office website.
You do not need to complain to us before contacting the ICO, although the ICO may recommend that you give us an opportunity to address the issue first.
14. Children
Our rental services and rental agreements are intended for adults.
We do not knowingly accept bookings from children or collect children’s information for marketing purposes.
A booking may contain limited information about child passengers where this is voluntarily provided by a parent or guardian and is relevant to the booking, for example when discussing sleeping arrangements, safety equipment or vehicle capacity.
Parents and guardians should not provide more information about a child than is necessary.
15. Cookies and similar technologies
Cookies are small files or pieces of information stored on or accessed from a device when a website is used. Similar technologies can include pixels, scripts, local storage and device identifiers.

15.3 Analytics technologies
Analytics may help us understand:
- how many people use the website;
- which pages are visited;

Where analytics technologies require consent, they will not be activated before consent is obtained.

15.5 Managing cookies
You can manage non-essential cookies through the website’s cookie settings where available and through your browser settings.
Blocking some technologies may affect website functionality.
Our cookie banner and settings should be read together with this policy. The cookie settings provide the current details of individual non-essential technologies in use.
16. Vehicle location and telematics
A vehicle may contain manufacturer-installed systems that collect technical information for diagnostics, servicing, security or roadside support.
Where a vehicle has an active location-tracking or telematics system that is accessible to Wee Coo Campers, we will provide appropriate information before the rental or at handover, including:
- what information is collected;
- the purpose of the system;
- when location information may be accessed;
- who provides the system; and
- how long relevant information is retained.
We will not routinely monitor a customer’s journey without a lawful and clearly explained reason.
Location information may be accessed where reasonably necessary to:
- locate a vehicle reported stolen;
- respond to a breakdown or emergency;
- investigate suspected unauthorised use;
- protect the vehicle;
- establish facts relating to an accident or claim; or
- comply with a lawful request.
This section should not be interpreted as confirming that every Wee Coo Campers vehicle contains an active tracking system.
17. Third-party websites
Our website may contain links to third-party websites or services.
We are not responsible for the privacy practices of an independent third party. You should read the privacy information provided by the relevant website, booking platform, payment provider or service before submitting information to it.
18. Changes to this policy
We may update this Privacy Policy to reflect:
- changes to our services;
- changes to our providers or systems;
- changes to legal requirements; or
- improvements to how we explain our processing.
The updated version will be published on our website with a revised “last updated” date.
Where a change materially affects how we use existing customer information, we will take reasonable steps to bring the change to the attention of affected individuals where required.
