Standard Rental Agreement — Wee Coo Campers Ltd

1.Minimum Campervan Hire

Minimum hire is 2 nights; maximum hire is up to 30 days unless agreed in writing with Wee Coo Campers. During July & August, a minimum hire of 6 nights applies unless agreed in advance.

2.Passengers

Our campervans are authorised for up to 4 passengers total, including the driver. All passengers must use seatbelts while the vehicle is in motion.

Child seats are required for children under 12 years old or under 135 cm in height, unless a legal exemption applies. Child seats must be supplied, fitted and checked by the hirer.

3.Drivers

Driver Requirements & Insurance

  • Drivers must be 25–75 years old.
  • All drivers must be approved by Wee Coo Campers and our insurer before driving the vehicle.
  • Standard refundable security deposit: £1,000. This reflects the standard insurance excess and may also be used against other charges due under this agreement.
  • Optional Collision Damage Waiver (CDW) at £15/day reduces the insurance excess payable from £1,000 to £150, where selected and paid for before hire.
  • Where CDW is selected, a £150 refundable security deposit is still payable before hire.
  • CDW does not remove liability for excluded damage, misuse, negligence, fines, fuel, cleaning, missing items, late return or other non-insured charges due under this agreement.
  • Accepted licences: UK, EU, Canada, USA, Australia and New Zealand. Other licences are subject to insurer approval and may be subject to additional conditions.

Documentation required for the main driver

  • Valid photo-ID driving licence, or paper licence plus passport.
  • Two proofs of address from separate companies dated within the last 3 months.
  • For UK licence holders, a DVLA check code may be required before hire.
  • Address evidence must match the booking and insurance information unless agreed in writing.

Additional drivers: Additional drivers must provide a valid licence, or paper licence plus passport. A maximum of 2 drivers are permitted per rental unless agreed in writing. All drivers must be present on the day of hire unless Wee Coo Campers agrees otherwise. Drivers are responsible for any legal penalties incurred during the rental period.

4.Campervan Hire Rates — What’s Included

Every Wee Coo comes with The Udder Essentials plus:

  • Unlimited UK mileage, standard UK insurance subject to driver eligibility, and roadside assistance.
  • Kitchen and cookware, plates and cups.
  • Complimentary tea and coffee.
  • Gas for cooking, typically sufficient for the trip duration.
  • Cleaning kit and safety kit, including fire extinguisher, first aid kit, warning triangle and hi-vis.
  • Mains hookup cable, leisure battery and heating system, model dependent.
  • Fridge/freezer, gas hob, sink, pop-top or rock-’n’-roll bed, model dependent.
  • LED lighting, blinds, blackout curtains, camping table and chairs.
  • Comprehensive orientation on pickup.

Insurance is subject to driver eligibility and insurer approval. All payments are processed securely via a card processing company.

5.Booking, Payments & Security Deposit

Booking confirmation occurs when: (a) a written confirmation email is issued; (b) a 10% deposit or agreed booking payment is received; and (c) completed Driver Information Forms are submitted. Once confirmed, your booking is subject to these Terms & Conditions, including the cancellation policy.

  • Balance: due 30 days prior to the rental start date.
  • Security deposit: A refundable card pre-authorisation or payment is required before hire. The standard security deposit is £1,000. Where CDW has been selected and paid for before hire, the security deposit is reduced to £150.
  • The security deposit may be used for reasonable charges due under this agreement, including the applicable insurance excess, damage, cleaning, fuel, fines, tolls, late return, missing items and other charges. Where possible, Wee Coo Campers will provide supporting details, photographs, invoices, notices or other evidence for deductions.
  • CDW reduces the insurance excess payable only. It does not remove liability for excluded damage, non-insured charges or breach of these Terms & Conditions.
  • Where held as a card pre-authorisation, release times depend on the card issuer and card processing company and may take several working days.
  • Inspection window: up to 48 hours post-return for wash, inspection and documentation of any damage, missing items or additional charges.

By providing payment card details, you authorise Wee Coo Campers to take or request payment for charges due under this agreement, including charges identified after return within the inspection window or later charges such as fines, tolls or penalties.

6.Pickup, Return & Handover

  • Pickup: from 2:00 PM, unless agreed otherwise.
  • Return: by 12:00 PM noon, unless agreed otherwise.
  • Early pickup or late return may be available with the Glencoe Plan, subject to scheduling and availability.

Vehicle must be returned to the correct location, undamaged, clean inside, with a full tank of fuel and all supplied equipment present. Collection and return address details will be provided in your booking confirmation or pre-hire information.

7.Cancellation Charges

Customers wishing to cancel must notify Wee Coo Campers in writing. Cancellation charges are calculated from the rental start date:

  • More than 30 days before the rental start date: refund of sums paid, less a £50 administration fee.
  • 30 days or fewer before the rental start date: 100% of the total hire charge is payable and non-refundable.
  • The security deposit is not treated as part of the hire charge and will be released or refunded unless charges are due under this agreement.
  • If Wee Coo Campers is unable to provide the vehicle due to legal restrictions, base closure, vehicle unavailability or circumstances outside our reasonable control, we will offer a transfer of dates, credit or refund as appropriate.

8.Changes to Bookings

Requests to change dates, vehicle, drivers, pickup time, return time, destination or optional extras must be made in writing and are subject to availability, insurer approval and any applicable price difference.

A booking is not changed until Wee Coo Campers confirms the change in writing. If the requested change is not available, the original booking remains in place unless cancelled in accordance with these Terms & Conditions.

If a change reduces the hire duration, removes optional extras or otherwise reduces the booking value, any refund or credit will be considered in line with the cancellation policy and the timing of the request.

9.Vehicle Availability & Substitution

Wee Coo Campers will make reasonable efforts to provide the vehicle booked. If that vehicle becomes unavailable due to breakdown, accident, late return, safety issue or circumstances outside our reasonable control, we may offer a suitable alternative vehicle where available.

If no suitable alternative is available and Wee Coo Campers is unable to provide the hire, we will offer a transfer of dates, credit or refund as appropriate. We are not liable for indirect or consequential losses such as campsite fees, ferry bookings, flights, missed events or lost enjoyment, except where we cannot lawfully exclude liability.

10.Rental & Other Charges

You agree to pay Wee Coo Campers for: rental charges; the security deposit; cancellation fees; the cost of damage to the vehicle or third-party property, subject to insurance; government fees and duties; fuel; AdBlue where applicable; cleaning; missing items; recovery charges; late return fees; and other charges due under this agreement.

If insurance is invalidated due to misuse, negligence, prohibited use or breach of these Terms & Conditions, you are liable for all resulting costs, losses and claims.

11.Payment of Charges & Responsibility

The lead hirer is responsible for all sums due under this agreement, including rental charges, security deposit, damage, insurance excess, cleaning, fuel, fines, tolls, penalties, late return charges, missing items and other charges arising during the rental period.

Each approved driver is responsible for their own driving, conduct, legal compliance and any loss, damage, penalty, fine, insurance issue or breach caused while they are driving or in control of the vehicle.

Where more than one customer or approved driver is named on the booking, they are jointly and severally liable for sums due under this agreement, except where liability legally rests with a specific driver or another person.

Charges are payable on demand. Where a charge is identified after return, including fines, tolls, penalties or damage discovered during inspection, Wee Coo Campers will provide details of the charge and may deduct the amount from the security deposit or charge the payment card used for the booking.

If sums remain unpaid after request, Wee Coo Campers may recover reasonable administration, debt recovery and legal costs where permitted by law.

12.Collection & Return Details

Collection: allow up to 1 hour for handover, documentation, vehicle condition record and orientation. Return: allow up to 30 minutes for checks. The vehicle must be returned as supplied, including clean interior, full fuel, on time and to the correct location. Delays may attract late return fees.

The customer should inspect the vehicle at handover and raise any concerns before departure. Wee Coo Campers may use photographs, video, checklists and written records to confirm vehicle condition before and after hire.

13.Fuel, AdBlue, Gas & Batteries

  • The vehicle is supplied with a full tank of fuel and must be returned with a full tank of the correct fuel.
  • If the vehicle is not returned full, the cost of refuelling plus a reasonable administration charge may be deducted from the security deposit or charged to the hirer.
  • The hirer is responsible for misfuelling and all related recovery, draining, repair and loss-of-use costs.
  • Where AdBlue is required, the hirer must respond reasonably to dashboard warnings and contact Wee Coo Campers if unsure.
  • Gas is supplied for normal cooking use and is typically sufficient for the trip duration. It must be used safely and turned off when not in use.
  • Leisure batteries must be used reasonably. The hirer is responsible for flat batteries caused by leaving lights, appliances or accessories running unnecessarily.

14.Cleaning, Wastewater & Toilet

The vehicle must be returned in a reasonable condition, with the interior clean and all rubbish removed.

  • Soiling / excessive cleaning: £75 where required.
  • Wastewater not emptied: £20.
  • Porta-potti not emptied and cleaned: £50.
  • Additional cleaning, deodorising or specialist cleaning charges may apply for smoke, pet hair, stains, bodily fluids, sand, mud, food spillages or other excessive soiling.

15.Title to Vehicle

Wee Coo Campers retains title to the vehicle at all times. You may not sell, assign, sublet, pledge, lend, hire, dispose of or otherwise part with possession of the vehicle.

16.Use of the Vehicle

  • You must drive cautiously, responsibly and lawfully at all times.
  • The vehicle must not be used for racing, rallies, speed trials, towing, commercial carriage, courier work, driving tuition, off-road driving or carrying more persons than there are seats and seatbelts.
  • The vehicle must not be driven by anyone who is not named and approved as a driver under the rental agreement.
  • The vehicle must not be driven under the influence of alcohol, drugs or any substance that may impair driving ability.
  • You must remove the keys when the vehicle is unattended and apply security devices where supplied.
  • The vehicle must not be exposed to salt water, submerged, driven through flood water or used to carry volatile, explosive, illegal or hazardous materials.
  • The hirer is responsible for securing the vehicle, keys, equipment and personal possessions during the rental period.

17.Travel Area, Roads & Ferries

  • The vehicle may be used within the United Kingdom unless otherwise agreed in writing.
  • Travel to the Republic of Ireland, mainland Europe or any other country requires prior written approval from Wee Coo Campers and may require additional insurance, breakdown cover, documents, fees or conditions.
  • Ferry travel is permitted only where the ferry route and destination are suitable for the vehicle and any required approval has been obtained.
  • The vehicle may only be driven on sealed, bitumen or properly surfaced roads.
  • The vehicle must not be driven off-road, on beaches, through fields, on unsuitable tracks, through flood water or in any location likely to damage the vehicle.
  • You must comply with all local parking, camping, overnight stay, waste disposal and access restrictions.
  • We may restrict vehicle movements due to weather, road conditions, event restrictions, ferry restrictions or other reasonable causes.

18.Alterations

No alterations, additions, stickers, fixings, mechanical changes or modifications may be made to the vehicle or supplied equipment without prior written consent from Wee Coo Campers.

19.Maintenance, Faults & Tyres

You must take reasonable care of the vehicle during the rental period, including monitoring warning lights and fluid levels where safe and appropriate. You must stop driving and contact Wee Coo Campers if a warning light, fault message or mechanical issue appears.

With prior consent, we may reimburse reasonable costs up to £50 for approved emergency mechanical items relating to drivetrain or mechanical failure. This excludes damage caused by misuse, negligence, tyres, wheels, water systems, fridge, heating, audio equipment or interior fittings.

Tyre, wheel and puncture damage are the responsibility of the hirer unless caused by a confirmed vehicle defect. You must contact us for approval before replacing tyres and any replacement must be like-for-like.

You must not authorise repairs, recovery or replacement parts without prior approval from Wee Coo Campers, except where required for immediate safety or legal reasons.

20.If an Accident Occurs

  • Notify Wee Coo Campers immediately.
  • If we are unreachable, email us and await guidance where it is safe to do so.
  • Collect third-party and witness details, including names, addresses, telephone numbers, vehicle registrations, insurer details and photographs where possible.
  • Report the accident to the police where required by law or where anyone is injured.
  • Do not admit liability, make settlement offers or agree to pay any third party.
  • Assist Wee Coo Campers and our insurer with any claim and provide all requested information.
  • The applicable insurance excess, up to the value of the security deposit, may be payable at the time the accident is reported.
  • Change-over vehicle costs, recovery costs and other reasonable charges may apply where caused by the hirer or another approved driver.

21.Insurance & CDW

  • Fully comprehensive insurance is included for eligible and approved drivers, subject to the applicable excess and the terms of this agreement.
  • The standard insurance excess is £1,000.
  • Optional Collision Damage Waiver (CDW) at £15/day reduces the insurance excess payable from £1,000 to £150, where selected and paid for before hire.
  • Where CDW is selected, a £150 refundable security deposit is still payable before hire.
  • Windscreen excess: £100 chip repair / £500 replacement, deducted from the security deposit where applicable.
  • Tyres, wheels, lost keys, misfuelling, interior damage, underbody damage and overhead damage are not covered by CDW unless expressly confirmed in writing.
  • CDW does not cover reckless use, negligent use, unauthorised drivers, driving under the influence, prohibited road use, breach of this agreement, or any action that voids or invalidates insurance cover.
  • If insurance cover is voided or invalidated, the hirer is liable for all resulting costs, losses and claims.

22.Breakdown, Defects & Replacement Vehicle

If the vehicle suffers a mechanical fault or breakdown not caused by the hirer, Wee Coo Campers will use reasonable efforts to arrange roadside assistance, repair the vehicle, provide an alternative vehicle where available, or offer an appropriate refund for affected hire time.

Wee Coo Campers is not liable for indirect losses such as campsite fees, ferry bookings, flights, missed events, lost enjoyment or other consequential losses, except where we cannot lawfully exclude liability.

You must notify us immediately of any fault, warning light, breakdown or issue affecting the safe operation of the vehicle. You must not continue driving where doing so may cause further damage or create a safety risk.

23.Smoking & Vaping

Smoking and vaping are not permitted in the vehicle, awning or any enclosed hire equipment. A cleaning, deodorising or damage charge may apply if this term is breached.

24.Pets

  • Pets are only permitted with prior consent from Wee Coo Campers.
  • Dog cleaning fee: £35, maximum 2 dogs unless otherwise agreed.
  • The vehicle interior must be returned reasonably cleaned of pet hair, mud, dirt and odour.
  • Additional cleaning, deodorising or damage fees may apply where required.
  • Pets must not be left unattended in the vehicle where this may cause damage, distress or a welfare risk.

25.Awnings, Accessories & Supplied Equipment

All supplied equipment, accessories and optional extras remain the property of Wee Coo Campers and must be returned clean, complete and undamaged.

  • Awnings and outdoor equipment must be used carefully and must not be used in high winds, storms or unsafe conditions.
  • The hirer is responsible for loss, theft or damage to supplied equipment during the rental period.
  • Missing, broken or damaged items may be charged at repair or replacement cost.

26.Fines, Tolls, Penalties & Administration

You are responsible for all parking charges, speeding fines, bus lane charges, congestion charges, clean air zone charges, tolls, ferry charges and other penalties or charges incurred during the rental period.

Where Wee Coo Campers receives a notice, fine, penalty, toll request or enforcement correspondence relating to your rental period, we may provide your details to the relevant authority or charge the amount due plus a reasonable administration fee for each notice processed.

27.Data Protection & Privacy

Wee Coo Campers collects and processes personal data for booking administration, driver verification, insurance approval, fraud prevention, payment processing, vehicle security, legal compliance, customer communication and enforcement of this agreement.

Personal data may be shared with insurers, brokers, card processing companys, roadside assistance providers, law enforcement, parking/toll authorities, professional advisers and other service providers where necessary for those purposes.

28.Definitions

Terms including “customer”, “hirer”, “rental period”, “vehicle”, “security deposit”, “insurance excess” and “Collision Damage Waiver (CDW)” follow Wee Coo Campers documentation and booking information.

“Collision Damage Waiver” or “CDW” means the optional add-on which reduces the insurance excess payable from £1,000 to £150, where selected and paid for before hire. CDW does not remove the requirement to pay a £150 security deposit and does not cover excluded damage, non-insured charges, misuse, negligence or breach of this agreement.

“Overhead damage” means damage to any part of the vehicle above 1.83m, or 6ft, from the ground. Overhead damage and damage caused by gross negligence, reckless use or breach of this agreement are excluded from CDW and are fully chargeable to the hirer.

29.Termination

We may terminate the rental and repossess the vehicle without notice if you breach this agreement, obtain the vehicle by fraud or misrepresentation, appear to abandon the vehicle, fail to return it on time, use the vehicle unlawfully or in a way that endangers safety, or if the condition of the vehicle is put at risk.

No refund of hire charges or deposit will be due in such cases, except for any part of the security deposit remaining after deduction of charges properly due under this agreement.

30.Changes to These Terms

Wee Coo Campers may update these Terms & Conditions from time to time. The terms that apply to your booking are the terms provided or made available to you at the time your booking is confirmed, unless a change is required by law or agreed in writing.

31.Proper Law

This agreement is governed by the laws of Scotland.

32.Warranties

You warrant that all information supplied to Wee Coo Campers in connection with this agreement, including driver details, licence information, address information and insurance-related declarations, is true, complete and accurate.

33.Entire Agreement

This document, together with your booking confirmation and any written amendments agreed by Wee Coo Campers, constitutes the entire agreement between you and Wee Coo Campers for the rental.

Published hire rates, fees and optional extras may be updated from time to time. Changes to published rates apply only to future bookings unless otherwise agreed in writing.
